Troubleshooting: Organising Products with Tags
Having issues with product tags? Find solutions to common problems below.
Q: Can I delete a tag if I don’t need it anymore?
A: Yes, but with caution.
Before deleting:
- Check if products are using the tag
- Reassign those products to a different tag first
- Then delete the empty tag
Warning: Don’t delete required system tags:
- REPORTING
- GST
These are required for the system to work properly.
Q: What’s the difference between tag tree levels?
A:
| Level | Description | Example |
|---|---|---|
| Level 1 | No parent tag | REPORTING, GST |
| Level 2 | One parent | Food (under REPORTING) |
| Level 3 | Parent + grandparent | Breakfast (under Food) |
| Level 4+ | More ancestors | Eggs (under Breakfast) |
For reporting:
- Choose which level of detail to display
- Level 2: See “Food” vs “Drinks” totals
- Level 4: See “Scrambled Eggs” vs “Poached Eggs” detail
Q: Do I need to use all the levels?
A: No! Use what makes sense for your business.
Examples:
- Small cafe: 2-3 levels sufficient
- Large restaurant: 4-5 levels for detailed reporting
- Retail store: 3-4 levels for inventory tracking
✅ Best practice: Start simple, add detail as needed.
Q: What if I move a tag that has child tags underneath it?
A: All children move automatically with the parent.
Example:
Move "Breakfast" from under "Food" to under "Specials"
Before:
Food
├── Breakfast
│ ├── Eggs
│ └── Pancakes
After:
Specials
├── Breakfast
│ ├── Eggs
│ └── PancakesThe entire branch (Breakfast, Eggs, Pancakes) moves together.
Q: Can I have the same tag name in different branches?
A: Yes! Tags are separate even with identical names.
Valid structure:
REPORTING
├── Food
│ └── Specials (This is one tag)
└── Drinks
└── Specials (This is a different tag)Each “Specials” tag is independent and can have different:
- Print Headers
- Child tags
- Products assigned
Common Issues
Problem: Products Not Showing in Reports Under Expected Tag
Symptoms:
- Product exists but missing from tag-based reports
- Sales not appearing in correct category
- Report totals don’t match expectations
Solution:
1. Check product tag assignment
- Go to Products page
- Open the product
- Verify correct tags are assigned
- Save if changes needed
2. Verify tag is under REPORTING
- Go to Product Tags
- Check tag structure
- All reporting tags must be children of REPORTING tag
- Move tag if needed
3. Check report filter settings
- Verify correct tag level selected
- Ensure date range includes the sales
- Check if filters are excluding data
Problem: Kitchen Dockets Not Printing to Correct Station
Symptoms:
- Orders print to wrong printer
- Some items not printing at all
- Mixed items printing together
Solution:
1. Check Print Header assignment
- Go to Product Tags
- Click the tag
- Edit and verify Print Header is set
- Save if changed
2. Verify product has correct tag
- Go to Products
- Check product is tagged correctly
- One product can have multiple tags
3. Check printer setup
- Verify Print Header is linked to correct printer
- See Setting Up Print Headers
✅ Best practice: Assign Print Headers to parent tags so children auto-inherit.
Problem: Can’t Delete a Tag
Symptoms:
- Delete option is greyed out
- Error message when trying to delete
- Tag won’t remove
Solution:
1. Check if products are using the tag
- Go to Products page
- Filter by the tag
- Reassign those products to different tag
2. Check if it’s a required system tag
- Don’t delete: REPORTING or GST
- These are required by the system
3. Check if child tags exist
- View tag in tree structure
- Remove or move child tags first
- Then delete parent tag
Problem: Moved Tag to Wrong Parent
Symptoms:
- Dragged tag to incorrect location
- Tag structure is now wrong
- Need to undo the move
Solution:
Move it again to the correct parent:
- Go to Product Tags
- Click and hold the tag
- Drag to correct parent tag
- Release to drop
💡 Tip: To cancel a move while dragging:
- Move mouse back over the tag you’re moving
- OR move over the sidebar
- Then release
Problem: Print Header Not Applying to Child Tags
Symptoms:
- Parent tag has Print Header
- Child tags not inheriting it
- Orders not printing as expected
Solution:
Verify inheritance is working:
Check Print Header is set on parent
- Click parent tag
- Edit to verify Print Header
- Save if needed
Check child tags DON’T have override
- Click child tag
- Edit and check Print Header field
- If set, it overrides parent’s Print Header
- Clear it to inherit from parent
✅ Best practice: Only set Print Headers on parent tags, leave children blank to inherit.
Problem: Tag Structure Is Too Complex
Symptoms:
- Too many levels to navigate
- Staff confused by categories
- Reports are overwhelming
Solution:
Simplify your structure:
Identify unnecessary levels
- Review tag tree
- Find levels that don’t add value
Merge similar tags
- Combine tags with few products
- Move products to parent tag
Flatten the hierarchy
- Move child tags up one level
- Reduce nesting depth
✅ Best practice: Keep it simple - most businesses only need 2-3 levels.
