Set Up Stock Locations

Configure stock locations and draw rules to track inventory across your venue.

Stock locations represent real physical places in your venue where stock lives — fridges, shelves, freezers, storage rooms, and keg rooms. Before you can track inventory, you need to tell Paimnt which of your locations store stock, and where each location should draw stock from when products are sold.


Before You Start

Before configuring stock locations, make sure you have:

  • Created all locations in HQ → Site → Locations that will be used for sales or stock storage
  • Set up your product catalogue with the products that need stock tracking
  • Identified your physical stock areas and how they relate to your sales points
  • Determined which products need counted stock tracking vs uncounted
  • Gathered distributor information including codes used on their invoices

Understanding Location Types and Stock Flow

Before you start configuring, it helps to understand how stock flows between locations in Paimnt.

The “Draws From” Concept

Draws From answers the question: “When a product is sold at this location, which stock location should have its inventory reduced?”

This matters because the place where a sale happens isn’t always the same place where the stock is physically stored.

Example: At The Beach Cafe, the outdoor bar tills are a separate location. But the stock — bottles, cans, and kegs — is stored in the Main Bar cool room. So the outdoor bar tills are configured to draw from the Main Bar. Every sale at the outdoor bar automatically deducts from Main Bar’s stock levels.

There are two levels where this is controlled:

🚨 Critical: Every location that participates in stock tracking must have a Draws From value set — including stock locations that store and sell from themselves. Without it, sales will not deduct stock.


Configuring a Location as a Stock Location

Follow these steps to enable stock tracking on an existing location (or a newly created one):

  1. In HQ, go to Site → Locations

  1. Find the location you want to configure (or create a new one)
  2. Click the ⋯ (three dots) next to the location and select Edit Details

  1. Tick the Stores Stock checkbox — this tells Paimnt that physical stock is held here and should be tracked
  2. Use the Draws From dropdown to select this same location — meaning when products are sold here, stock is deducted from this location’s own levels

  1. Click Save

Your location will now track stock levels and movements for any products that draw from it.

After Setup: Do a test sale and check Stock Locations to confirm the stock level decreased by 1. This confirms your draw rules are working.


Configuring Sales-Only Locations

If you have till locations that don’t physically hold stock (e.g. an outdoor bar, a function room, a poolside kiosk), configure them like this:

💡 Tip: Changes to Draws From take effect immediately across all tills. You don’t need to restart or sync anything — the next sale will use the new setting.

📖 Important Notes on “Draws From”:

  • Changing this setting does not transfer existing stock levels between locations — it only affects where future movements are recorded
  • If a location has no Draws From set, sales at that location will not create any stock movements
  • A stock location can temporarily draw from another location if needed (e.g. during a large event where stock is moved to a different area)

Product Draw Rules — Overrides for Specific Products

Sometimes a product is sold from one location but physically stored in a different one. The most common example is kegs — they’re stored in a keg room with a pipe running to taps at the bar.

Product Draw Rules let you override the location’s default Draws From setting for specific products or product tags.

💡 Example: At The Beach Cafe, all products at the Main Bar draw from Main Bar by default. But kegs are stored in the Keg Room. A Product Draw Rule is created:

  • Products: Kegs tag
  • Sold at: Main Bar
  • Draw from: Keg Room

Now whenever a keg beer is sold at the Main Bar, stock deducts from the Keg Room instead.

Adding a Product Draw Rule

  1. In HQ, go to Stock → Product Draw Rules

  1. Click + Add Product Draw Rules
  2. Select the product tag that covers the products you want this rule to apply to (pick the most specific tag — e.g. Kegs rather than Beverages)
  3. In the At This Location box, select the till/sales location where these products are sold
  4. In the To Draw From This Location box, select the stock location where these products are physically stored
  5. Review the product list — untick any products that don’t need this draw rule

  1. Click Create Products Draw Rule

The rule will now appear in the list. Affected products will show their sales location and the stock location they draw from.

Removing a Product Draw Rule

  1. In HQ, go to Stock → Product Draw Rules
  2. Use the search box to find the rule you want to remove
  3. Tick the rule (or multiple rules)
  4. Click Remove Rules in the top right
  5. Confirm the removal

Affected products will revert to using the location’s default Draws From setting.

⚠️ Note: Removing a draw rule affects all future sales immediately. It does not change any historical stock movements.
