How to Change Product Sizes
Customers can be indecisive about sizes. Here’s how to handle size changes before and after adding items to the sale.
⚠️ Important: This only works if your products are set up with multiple sizes in the database (e.g., Small/Medium/Large coffee).
Option 1: Select Size Before Adding (preselect method)
When to use this: You know the size before clicking the product button.
- Press the “Preselect Product Size” button with the size you want (e.g., “Large”)
- A line appears in the Order View showing the size and “add an item…”
- Add the product using the product button or search
- The product is added with the preselected size
Example: Customer says “Large coffee please” → Press “Large” size button → Press “Coffee” button → Order shows “1x Large Coffee”
Option 2: Change Size After Adding (select method)
When to use this: Customer changes their mind after you’ve added the item.
- Add the product to the sale (it appears with default size)
- Tap the product in the Order View to select it
- Press the “Product Size” button with the new size you want
Example: Order shows “1x Medium Coffee” → Customer says “actually make it large” → Tap coffee line → Press “Large” button → Line changes to “1x Large Coffee”
How to Add Instructions to Products
Instructions help the kitchen and bar know exactly how to prepare items - like “no onions”, “well done”, or “extra hot”.
📖 What this means: Instructions are special products that attach to menu items and provide preparation details. They can affect price (like “add bacon” +$2) or be free (like “no ice”).
Understanding the Preferences Window
The Preferences Window is where you add, remove, and customize instructions. There are three ways to open it:
Adding Instructions Using the Preferences Window
Scenario: Customer orders a burger and wants it cooked medium-rare with no pickles.

- Add the product to the sale (the Preferences Window may open automatically)
- Each instruction group shows available options with + buttons
- Press an instruction or the + icon to add it
- Selected instructions show with a checkmark or quantity number
- To remove an instruction, press it again (if checkbox) or press the – icon
- Press Apply to save your changes
To cancel without saving: Press the X in the top right corner (this removes the product from the sale).
📖 What this means: If a group says “required”, you must select at least one instruction before you can apply. The window shows the current count and maximum allowed (e.g., “2/3” means 2 selected out of 3 maximum).
💡 Tip: Some instructions have a minimum - like “Choose at least 2 toppings”. The Preferences Window won’t let you apply until you meet the minimum.
Adding Instructions Using Instruction Buttons
When to use this: For frequently used instructions that deserve their own button (like “Extra hot” or “Gluten free”).
⚠️ Important: You’ll need instruction function buttons set up on your keyboard first.
- Tap the product in the Order View (last added item is auto-selected)
- Press the instruction function button
- The instruction is added to the product instantly
Example: Customer orders coffee and wants it extra hot → Add coffee to sale → Coffee line is selected → Press “Extra Hot” button → “Extra Hot” appears under coffee in Order View
💡 Tip: This is much faster than opening the Preferences Window when you have common requests.
Adding Custom Instructions (for special requests)
When to use this: Customer has a special request that’s not in your system - like “happy birthday message on plate” or “cut into small pieces”.
- Open the Preferences Window using one of the methods above
- Press the + “Custom” button on the left side

- A pop-up box appears asking for name and price
- Type your instruction text (e.g., “Draw dinosaur in sauce”)
- Enter a price if needed (or leave as $0.00)
- Press Save
- Press Apply to save changes to the product
Custom instructions appear first in the Preferences Window but show at the END of the instruction list on invoices and kitchen prints.
Editing a Custom Instruction
- Open the Preferences Window
- Find the custom instruction in the “Custom” group box
- Double-tap the instruction line
- Edit the name or price in the pop-up box
- Press Save
- Press Apply
Removing a Custom Instruction
- Open the Preferences Window
- Find the custom instruction in the “Custom” group box
- Press the – button next to the instruction

- Press Apply to save changes
How to Use Open Price and Free Text Products
Sometimes you need flexibility to change a product’s price or description on the fly - like for “Miscellaneous Item” or “Staff Meal”.
⚠️ Important: These features must be enabled for specific products in the Back Office first.
Setting a Custom Price (Open Price)
Scenario: You have a “Miscellaneous Item” button and need to charge a customer for a custom amount.
- Add the product to the sale (Preferences Window opens automatically if open price is enabled)
- Tap the price box in the top middle of the Preferences Window

- Type the price for this sale
- Press Apply
Example: Customer asks to buy a spare plate for $5 → Add “Miscellaneous Item” → Type “5.00” in price box → Press Apply → Order shows “1x Miscellaneous Item $5.00”
✅ Best practice: Always confirm the price with the customer before finalizing the sale.
Setting a Custom Description (Free Text)
Scenario: You need to type a specific name for what the customer is buying.
- Add the product to the sale (Preferences Window opens automatically if free text is enabled)
- Tap the name box in the top left of the Preferences Window

- Type the description for this sale
- Press Apply
Example: Customer buys a gift card → Add “Gift Card” product → Type “Gift Card - Sarah’s Birthday” → Press Apply → Receipt shows exactly what you typed
